A few things jump out. First, the gap between the cheapest and most expensive platform is 3.4x on monthly pricing alone. Second, setup fees range from zero to ₹15,000 — that's real money if you're bootstrapping. Third, transaction fees look small but compound fast.

The hidden costs nobody puts on the pricing page

The monthly fee gets you in the door. The extras keep the meter running.

SMS charges

Most platforms charge ₹0.15–0.25 per SMS. If you send renewal reminders, class alerts, and payment confirmations, a 200-member gym burns through 800-1,200 SMS per month. That's ₹120–300/month on top of your subscription. Some platforms bundle 500 SMS free and charge for the rest. Others charge from message one.

WhatsApp add-ons

WhatsApp Business API messages cost ₹0.50–0.85 per conversation. Not per message — per 24-hour window. If you're sending renewal nudges, class reminders, and payment receipts, expect ₹400–700/month for a 200-member gym. Some platforms mark up the WhatsApp cost by 20-30% on top of Meta's rate.

Payment gateway fees

If your software collects payments on your behalf, they usually take 2-2.75% of every transaction. On ₹3 lakh in monthly collections, that's ₹6,000–8,250. Per month. That's potentially more than the software subscription itself.

A few platforms offer free tiers. They're worth considering if you're just starting out, but go in with your eyes open about what's missing.

  • Free plans typically cap at 50-100 members. Hit that ceiling and you're forced to upgrade overnight.
  • No WhatsApp integration. You'll send messages manually from your phone.
  • No payment collection. Members pay you directly — more cash handling, more missed dues.
  • Limited reporting. You get member counts but not revenue analytics or churn data.
  • No biometric or face-recognition check-in. Manual attendance only.
  • No multi-branch support. Opening a second location means upgrading immediately.

The short version: free plans work for a brand-new gym with under 50 members. Past that, you're spending more time working around the limitations than the software is saving you.

How to calculate your true annual cost

Here's the formula we use. Add these up for any platform you're evaluating:

  • Annual subscription (monthly × 12, or yearly plan price)
  • Setup fee (one-time, but amortize it over 12 months for comparison)
  • SMS cost: (avg. messages/member/month) × (member count) × (per-SMS rate) × 12
  • WhatsApp cost: (avg. conversations/member/month) × (member count) × (per-conversation rate) × 12
  • Transaction fees: (monthly collections) × (transaction fee %) × 12
  • Add-on modules: personal training, diet plans, lead management — each often ₹200-500/month extra

Don't compare monthly fees. Compare total annual cost of ownership. A platform that charges ₹999/month with no transaction fees will almost always cost less than one at ₹1,499/month that takes 2% of your collections. Do the math for your gym size, your message volume, and your payment flow before you sign anything.

Is there any gym management software that's completely free?
